Terms of service

These terms govern access to WagePilot’s website, diagnostic, account workspace, and paid services. By using the service, you agree to them on behalf of yourself and, where applicable, your organization.

1. Eligibility and authority

You must be at least 18 and authorized to act for the organization whose payroll or project information you provide. You are responsible for ensuring that your use and uploads comply with employment, privacy, contract, and public-works requirements.

2. The service

WagePilot provides a limited automated review of supported payroll data, structured exceptions, project history, and related workflow tools. Features, supported fields, jurisdictions, and integrations may change during the validation period. Direct agency filing, comprehensive state coverage, and automatic wage-determination selection are not included unless expressly stated.

3. No professional advice or automatic certification

WagePilot is not a law firm, payroll provider, accountant, government agency, or authorized compliance professional. Results may be incomplete or incorrect and do not constitute legal, tax, payroll, or compliance advice. You retain responsibility for classifications, wages, corrections, certifications, submissions, deadlines, and professional review. Nothing is filed automatically.

4. Accounts and security

Keep access to your work email and authenticated sessions secure. You are responsible for activity under your account and must promptly report suspected unauthorized access. WagePilot may suspend access to protect the service, users, or payroll information.

5. Customer data

You retain ownership of information you submit and grant WagePilot a limited right to process it to provide, secure, support, and improve the service. You represent that you have the necessary rights and authority to provide the data. Do not upload information unrelated to the requested payroll review or prohibited by law or contract.

6. Acceptable use

You may not use WagePilot to violate law; access another customer’s information; introduce malware; evade usage or security controls; reverse engineer protected portions of the service; overload the service; make automated certification decisions without required human review; or misrepresent WagePilot output as an agency determination.

7. Fees, renewals, and cancellation

Paid plans renew at the interval shown at checkout until canceled. Stripe processes payment. Taxes may apply. You may cancel future renewal at any time, but fees already paid are non-refundable except where required by law or expressly stated at checkout. We will give reasonable notice of material price changes before a renewal.

8. Intellectual property and feedback

WagePilot and its software, designs, documentation, and branding are protected by intellectual-property laws. These terms grant only a limited, non-transferable right to use the service for your internal business purposes. If you provide feedback, WagePilot may use it without restriction or payment, without identifying your confidential payroll information.

9. Third-party services

The service depends on providers such as OpenAI, Stripe, Google, email delivery, hosting, and database infrastructure. Their services may have separate terms and may be unavailable. References to ADP, QuickBooks, DIR, LCPtracker, or other systems do not imply endorsement or a live integration unless expressly stated.

10. Availability and changes

We may modify, suspend, or discontinue validation features and may impose reasonable limits to protect the service. We aim to preserve saved project information but do not guarantee uninterrupted availability. Maintain your own payroll source records and required compliance evidence.

11. Disclaimers and limitation

The service is provided “as is” and “as available” to the fullest extent permitted by law. WagePilot disclaims implied warranties of merchantability, fitness for a particular purpose, non-infringement, and accuracy. To the fullest extent permitted by law, WagePilot is not liable for indirect, incidental, special, consequential, exemplary, or lost-profit damages. WagePilot’s aggregate liability relating to the service will not exceed the amount you paid WagePilot during the three months before the event giving rise to the claim.

12. Termination, changes, and contact

You may stop using the service at any time. WagePilot may terminate or suspend access for material breach, security risk, nonpayment, or legal necessity. Updated terms apply prospectively from the effective date shown above; material changes will receive additional notice where required. Questions can be sent to legal@wagepilot.ai.
